The Manitoba Library Association provides leadership in the promotion, development, and support of library and information services in Manitoba for the benefit of MLA members. Overview
Reporting to the board of directors and working collaboratively with the office manager and various committees, the program coordinator would be responsible for establishing and maintaining programs of MLA. The incumbent would provide support to committee members to actualize the work of the conference. Supporting, facilitating, training, and liaising with committee members and other volunteers, and partnering with other organizations is critical to executing successful programs. The individual would collaborate with the board of directors on all program and project activities as they relate to the current strategic plan.
Qualifications
The incumbent would have:
● Knowledge of library services and operations, ideally at least 2-5 years of experience in the field as well as an interest in current trends in library programming and service delivery.
● Ability to work with computer software, online platforms, administrative systems
● Excellent communication skills. An ability to speak and write in French is an asset.
● Experience with event management and programming.
● Courteous and effective interpersonal skills that contribute to a positive work environment.
Duties
The Program Coordinator’s duties may include, but are not limited to the following: Administer the MLA Conference:
● Promote conference and lectures to members and the general public
● Provide administrative support to invite exhibitors to register; help advertise exhibits and promote visits to the exhibit hall by conference attendees;
● Source and coordinate the creation of promotional and marketing materials.
● Coordinate with the communications team in taking photos of conference delegates when in person; share photos and report on its success following the conference.
● Consult with the communications committee to publish conference materials (e.g. photos, presentations, etc.).
● Maintain and develop MLA Conference budget with the office manager and board of directors and oversee authorized expenditure of funds. Foster a productive work environment:
● Recruit volunteers in collaboration with Board
● Work in close collaboration with Office Manager to sustain operations of the association.
● Build a positive volunteer culture and member focused association in collaboration with the board. Establish and maintain additional programming:
● Coordinate with the Board to execute MLA programs and advise the board with regular updates on progress;
● Work with the programming committee to develop and implement strategies; support, monitor, and report on action plans.
● Consult with the board to advocate and promote the purposes and activities of MLA.
● Gather program data to provide input into the program evaluation process.
● Consult with the Board of Directors to establish grant applications and final reports for approved member grant programs.
Contract Terms
This is the equivalent of a full-time position at 32 hours per week and is an independent contract. The contract will include 48 weeks of work (to be performed consecutively or non-consecutively). The regular working hours are flexible and can be set by the Contractor. It is preferred that the contractor will be able to readily travel to different locations in Manitoba from time to time, or as events require. Apart from necessary tasks in the Manitoba Library Association office, work can be carried out remotely. The Contractor, members of the Board, and other agents of Manitoba Library Association (i.e. Program Coordinator) will make every effort to negotiate meeting times in a mutually agreeable manner and with reasonable notice.
